1. Quotes, Rates, and Price Variations:

  • All quotations are subject to availability at the time of booking. Rates may change due to factors such as supplier price revisions, exchange rate fluctuations, tax updates, or limited inventory. Should there be any change before your booking is finalized, you will be informed. If you choose not to proceed, you may cancel without penalty. Once confirmed and paid, any later discounts or promotions cannot be applied retrospectively.

2. Bookings, Deposits, and Payments:

  • A 50% non-refundable deposit is required at the time of confirmation if travel is more than 45 days away.
  • Balance payment is due 45 days before departure.
  • Bookings made within 45 days of travel require 100% payment at the time of booking.
  • Payments can be made via Credit Card, Net Banking, UPI, or Direct Deposit.
  • Merchant fees will apply for credit card payments on the final amount.

3. Cancellations (Standard Policy):

  • Cancellation 30+ days prior: 75% refund
  • Cancellation 15&ndash29 days prior: 50% refund
  • Cancellation 7 days to 48 hours prior or No-Show: No refund
  • Additionally, 28% GST already paid to hotels will be deducted above the cancellation charges.

4. Amendment & Late Booking Fees:

  • Amendments after confirmation attract a fee (25%&ndash50% depending on the booking value), plus supplier charges.
  • Bookings made within 72 hours of departure may attract a late booking fee of 20%.

5. Refunds:

  • All refund requests must be submitted in writing within 10 days of travel completion.
  • INR 1,500/- processing fee applies to all approved refunds.
  • Refunds are not provided for services unused after travel has started or due to weather disruptions or illness (claimable via travel insurance).

6. Airline Bookings and Cancellations:

  • Airfares are non-refundable, non-changeable, and fully governed by airline policies.
  • Full payment is required upfront for flight tickets.

7. Travel Insurance:

  • Travel Insurance is strongly recommended. It is the traveller&rsquos responsibility to ensure adequate insurance coverage for cancellation, medical expenses, and loss of belongings.

8. Accommodation:

  • Hotel details will be mentioned at the time of booking.
  • Check-in is generally 2 PM Check-out is 10 AM unless otherwise specified.
  • Photo ID and Credit Card authorization may be required at check-in.

9. Vehicle Services:

  • Vehicles are arranged through trusted third-party operators. Optimus Trips is not liable for operational shortcomings of the vendor once travel begins.

10. General:

  • All rates are quoted in Indian Rupees and inclusive of applicable taxes unless stated otherwise.
  • Optimus Trips reserves the right to change these Terms & Conditions without prior notice.
  • Booking Confirmation: A deposit of 25%-50% of the total package cost is required at the time of booking.
  • Final Payment: The remaining balance must be paid at least 30 days prior to the departure date.
  • Late Payments: A late fee may apply for payments made after the due date.
  • Payment Methods: Payments can be made via bank transfer, credit/debit cards, or online payment methods (subject to applicable charges).
  • Currency: Payments are to be made in INR unless stated otherwise for international packages.

45 days or more prior to departure: 80% refund of the total package cost.

30 to 44 days prior to departure: 50% refund of the total package cost.

15 to 29 days prior to departure: 25% refund of the total package cost.

Less than 15 days prior to departure or No Show: No refund will be provided.


Important Points:

 The refund amount will be calculated after deducting all non-refundable components such as airfare, train tickets, ferry tickets, permit fees, visa fees, travel insurance, and any advance       payments made to hotels, transport providers, or other vendors.


Partial cancellations involving a reduction in the number of travelers, rooms, or services will attract cancellation charges on the cancelled portion only.

All cancellation requests must be submitted in writing and will be effective from the date of receipt by Optimus Trips.
